Privacy Policy

TP CPA respects the privacy rights of our clients and is committed to protecting all personal information in our possession or control. We have adopted this Privacy Policy to guide how we collect, use, and disclose the personal information we require in the course of fulfilling our professional responsibilities and operating our business.

While TP CPA has always taken the privacy and confidentiality of our clients and their employees very seriously, we have developed this Privacy Policy (the “Policy”) to clearly define our ongoing commitment to protecting privacy rights. Some of the practices discussed in this Policy reflect requirements set out in both Federal and Provincial privacy legislation. Our goal is to comply with legal requirements and to be responsive to our clients, as well as partners and employees who expect us to protect their privacy and personal information.

Accountability for Personal Information

TP CPA is accountable for all personal information in our possession or control. This includes any personal information that we receive directly from you, as well as other information we may obtain indirectly from sources such as corporate clients or government agencies. We have established policies and procedures to safeguard personal information, and our employees are trained in our Privacy Policy and their role in protecting your personal information. Collecting Personal Information

In most instances, TP CPA will collect, use, or disclose personal information solely for the purpose of providing professional services to you. Each engagement letter will include an explanation of why we require your information, how it will be used, and with whom it may be shared in order to deliver our professional services. Your personal information may be disclosed internally and with other partners of TP CPA to ensure compliance with applicable professional standards, internal policies, or during quality reviews. Personal information may also be shared to offer services or products that may be of interest to you. In accordance with professional standards, if you are an audit or attest client, your personal information may be shared with TP CPA’s audit or attest engagement team and other firm personnel for the purpose of conducting the audit or attest engagement.

Use and Retention of Personal Information

If we intend to use your personal information for any purpose not previously identified to you, we will obtain your prior consent. However, we may use personal information without consent in situations where it is necessary for acting in an emergency that threatens the life, health, or security of an individual. We may also disclose personal information without consent in the following situations:
  • To comply with a subpoena, warrant, or order made by a court or other body with appropriate jurisdiction, or in compliance with regulatory rules;
  • To a government institution that requests the information under its lawful authority, where the purpose is enforcing, investigating, or gathering intelligence related to any federal, provincial, or foreign law, or for matters of national security or international affairs;
  • To an investigative body or government institution, if we believe the information concerns a breach of an agreement, violation of law, or is related to national security or international affairs.
In compliance with professional standards, we maintain records of the work we perform, which may include personal information. Our policies and procedures include safeguards to prevent unauthorized access to such records.

Accuracy of Personal Information

The personal information we collect about you must be accurate, complete, and current to ensure we can provide our services effectively. Occasionally, we may ask you to update your personal information. We also encourage you to notify us of any changes that may be relevant to the services we are providing to you. Clients are encouraged to contact their engagement partner to update their personal information.

Safeguarding Personal Information

We protect your personal information through physically secure facilities, secure information systems, and sound internal policies and practices. Security measures are in place to protect against loss, misuse, and unauthorized access to the information under our control. Personal information is stored in secure environments that are not accessible to the public (e.g., restricted access areas). To prevent unauthorized electronic access, we ensure that personal information is maintained in a secure electronic environment.

Accessing Your Personal Information

As a client, you have the right to review and obtain a copy of your personal information held at our offices by contacting your engagement partner. In most cases, you will receive a response to your request within 30 days. If you have any concerns about the access provided to you, please reach out to us at privacy@tpca.ca.

Concerns and Complaints

TP CPA will respond to individual complaints and questions relating to privacy. We will investigate and attempt to resolve all complaints regarding the handling of personal information. Should you have any concerns or believe that we have not complied with our Privacy Policy, please direct your concerns in writing to privacy@tpca.ca. We will ensure a complete investigation of your complaint and provide a report of the findings, typically within 30 days.
